Terms and Conditions

Thanks for choosing a course at a Language in Group school. These terms and conditions are important and we recommend you ask us if there is anything you are not sure about. We want you to enjoy your Language in Group experience and hope these details explain what happens in every possible situation.

Enrolment and Payment
To reserve a place on any course please complete our enrolment form and send it to Language in Group. We will contact you within 48 hours (Monday - Friday) to confirm availability. You will then be required to pay a deposit of £100. The balance of the payment must then be made 28 days before arrival. Failure to do so may lead to the cancellation of your place. If your booking is within 28 days of your arrival full payment is required.

Full payment is required for those students who need a visa before an acceptance letter or CAS number (UK) can be issued.

Payments must be made by bank transfer or credit card. Students booking directly will receive an invoice with Language in Group bank details and any related payment conditions specific to visas, accommodation or other services. Payment must include bank charges for local, intermediary and receiving banks.

Fees
Registration Fee covers first day testing, induction, administration and leaver's certificate.
Course Fee covers group or individual tuition and includes some photocopied learning materials.

Accommodation Placement Fee covers arrangement of first homestay or residence, pre-arrival details and support during stay.

Accommodation Fee covers weekly rental charge in homestay or residence and meals where included. Accommodation cannot be arranged or reserved until the payment has been received.

Transfer Fee covers an airport / station pick up by a taxi / mini bus and transfer to accommodation.

Extra Charges

Book Fee (20 GBP / 25 Eur) covers buying or a deposit to borrow a course book.
Changing Accommodation (50 GBP / 60 Eur)
Exam Fee (100 - 150 GBP / 120 - 180 Eur) for Cambridge and IELTS exams
Courier for documents (50 GBP / 60 Eur)
Administration Charge (50 GBP / 60 Eur) for any requests to make changes outside the notice period (e.g. holidays, accommodation).

Bank fee (15 GBP / 15 Eur) for payments by bank transfer. For payments by credit card add 3% fee to the total after deducting the bank fee.

Accommodation
If your choice of accommodation is not available for the dates you wish to take your course we will suggest alternative accommodation. Accommodation at all schools is not owned by Language in Group and the individual providers may change their own terms and conditions at any time without notice. The Language in Group accommodation service is designed to support our clients before arrival and during their stay.

Visas
Irish or UK law will always take precedence and Language in Group schools are not permitted to offer advice on visa application. Language in Group schools cannot be held responsible for any decisions made by embassies or immigration officials regarding the granting, refusal or extension of visas.
On arrival at a Language in Group school, all students must present their passports to check they have the appropriate visa and right to study.

UK Language in Group schools add a 10 GBP fee for CAS (Tier 4 General Student Visa) and all Language in Group schools will charge 50 GBP / 60 Eur for sending documents by courier.

Students are advised to seek professional advice for the best guidance on visa applications and to read all the information provided by the Irish and UK governments.

Language in Group schools reserve the right to report low and non-attendance by students to the authorities based on specific law in Ireland and the UK.

Refunds and Cancellations
Cancellations are only accepted in writing and are based on the day they are received taking into account the Language in Group office is open Monday - Friday (0830 - 1730). Fees will be refunded to the account / credit card of the original payment.

In all cases Irish / UK law will take precedence regarding legal conditions for students with visas and course termination. A cancellation due to visa refusal will only be accepted on receipt of a copy of the official refusal document. Language in Group schools also reserve the right to demand the return of all letters and documents sent by the school for the visa application.

Before arrival
14 days or more before accommodation or course start date (whichever is first): Language in Group schools will refund fees in full less Registration Fee, Accommodation Placement Fee, Courier Fee, any fees associated with processing a visa application and all bank charges.

Fewer than 14 days before accommodation or course start date (whichever is first): Language in Group schools will refund fees in full less Registration Fee, Accommodation Placement Fee, Courier Fee, any fees associated with processing a visa application, all bank charges and one week's accommodation and course fees based on the individual booking. Extra cancellation and deposit conditions may apply for specific accommodation requests.

After arrival
Courses: there is no refund on courses after arrival. Group lessons cannot be converted to one-to-one lessons. A credit note will be issued for any course that cannot be completed. The credit note is valid for 12 months from the day the course is terminated and is not transferrable to any other person or refundable.

Accommodation: there is no refund on accommodation booked for up to 4 weeks. For longer bookings a written cancellation must be given 4 weeks before termination in order to receive a refund, which will be paid at the end of the notice period.

Time off for students
1 - 12 weeks: no holiday
13 - 23 weeks: 2 weeks holiday
24 - 48 weeks: 4 weeks holiday (UK) 12 weeks holiday (Ireland)
Holiday must be booked in writing at least two weeks in advance and any breaks taken must be covered by the terms of visa issued by the Irish / UK governments. No credit is given for accommodation during holidays.

Public holidays / school closure
There are no lessons on national public holidays, however, an organised school activity (e.g. guided tour, museum visit etc) will be arranged on that day.
UK: 22 April, 25 April, 2 May, 30 May, 29 August
Ireland: 17 March, 22 April, 25 April, 2 May, 30 May, 29 August

Timetable and courses
The Language in Group timetable is based on 10 45-minute lessons a day. There is a break of 15 minutes between each set of two lessons. General English, Intensive and Mini Group courses are on a zig zag timetable with alternate morning and afternoon lessons.

One-to-one lessons are arranged throughout the day based on availability of teachers.
Language in Group schools will always try to place friends / family members travelling together on the same zig zag if provided with advanced warning but reserve the right to allocate a class that is most suitable for their level.

Language in Group schools guarantee to run all advertised courses.

Level of English
All students will be tested on arrival on the first day of their course. Professional advice will be given if the level is not right for the expected course and the student will be placed in an alternative and suitable course. Minimum level for General English courses is elementary.

Insurance
There are many policies for language students (both for juniors and those aged 18+) that cover health, travel and accident insurance and course cancellation. By accepting Language in Group terms and conditions you agree to arrange your own insurance that is adequate for your needs and covers your entire stay.

Language in Group School Rules
Respect: Students come from all over the world and both Ireland and the UK are cosmopolitan countries with populations from different ethnic and religious backgrounds. Teaching staff and homestay hosts are chosen because of their ability to treat students well and carry out their roles professionally and to the highest standards and not because of race, colour or nationality. All students and those who work for Language in Group schools must treat each other equally and with respect.

Expulsion: Language in Group schools reserve the right to expel a student for poor attendance (below 80%), repeated late arrival, abusive or bullying behaviour to another student, employee or person connected to a Language in Group school (e.g. homestay host) or for non-payment of fees.

Complaints Procedure
A system is in place in each Language in Group school to deal with any complaints. It is hoped that anything can be dealt with by discussing the issue with a member of staff. If a problem cannot be resolved at this stage then a meeting will be arranged with the school manager / director. Translation or language support can be arranged if necessary. In the UK, British Council and English UK both operate an independent service to represent students.

Airport Transfers
Airport transfers (taxi or minibus to take students to their accommodation from the airport or station) can be arranged. The fee includes one hour waiting time and any extra time (delay at immigration, waiting for baggage) will be charged on arrival at school on the first day.

Liability
Language in Group schools will not be held liable for loss, damage or injury to persons or property.

Force Majeure
Language in Group schools will not be responsible for failure to comply with any obligations if this failure is caused by anything beyond the reasonable control of Language in Group schools. Compensation cannot be provided in this instance nor can Language in Group schools be responsible for any costs incurred. As is normal in these conditions, such causes can include but are not limited to: war (or threat of), terrorist activity, civil actions and strikes, natural disasters, extreme weather conditions, infectious diseases (or threat of).

Photography and filming
Group and individual photographs may be taken professionally for use in marketing materials (e.g. brochure, website) or regularly as part of the day-to-day life of a Language in Group school for social media (e.g. Facebook) and blogs. Anyone wishing to opt out should inform the school in writing on arrival.
